Fields: Export Assets
Hierarchy Export lets you save the contents of the selected folder as a compressed DaXML file. Portfolio compiles the DaXML file with the asset files in tar format and compresses it into a gzip (*.gz) file. Portfolio can extract and import all elements of this type of exported file. When you specify the file, you also specify the accountability settings and the depth of subdirectories to include.
Assets > Import/Export Assets > Export Assets
Export Name
Specifies the name (up to 80 characters) that appears in the Export History list. This name is also used as the file name when you download the file in the Export History page (for more information, see Fields: Export History).
Export OCR settings
Places a tag in the export record of any asset where Include OCR text for searching has been enabled (for more information, see Fields: Add/Edit Asset). The OCR tags indicate that Portfolio is to run an OCR scan on the tagged assets during import. Because Portfolio doesn’t export the text from an asset, it uses the Export OCR setting tag to prompt the Portfolio system importing the file to create a new full text scan including OCR from assets that had OCR enabled.
Security Settings
The Security Settings let you specify whether to include the assigned access level and authentication settings that are assigned to the assets. If you include these settings, they can be imported with the asset into Portfolio.
Include Access Levels
Indicates whether to include the Access Level assigned to each folder or asset included in the export. The Access Level for folders and assets can be imported into Portfolio.
Include Accountability Citizenships
Indicates whether to include the Citizenship accountability settings assigned to folders and assets. Citizenship settings can be imported into Portfolio.
Include Accountability Clearance Levels
Indicates whether to include the Clearance Level accountability settings assigned to exported folders and assets. Clearance Level settings can be imported into Portfolio.
Include Accountability Need-To-Knows
Indicates whether to include the Need-To-Know accountability settings assigned to folders and assets included in the export. Need-To-Know settings can be imported into Portfolio.
Include Accountability Restrictions
Indicates whether to include the Restrictions accountability settings assigned to folders and assets included in the export. Restriction settings can be imported into Portfolio.
Sort
Arranges the folders and assets in the digital asset hierarchy in ascending order by either name (Alphabetically) or the date the folder or asset was added to the hierarchy (Chronologically). The default value is Chronologically.
Important: The selected Sort value is in effect when you are on the Export Assets page. The Sort value returns to Chronologically when you leave and return to the Export Assets page, or if you log out of Portfolio and log in again.
Select the folder to export assets from
Specifies which folder is the base folder from which assets are exported. Click the plus () next to a folder to view the folders within the folder, or the minus () to hide the folders within a folder. Click the folder name to select the folder. The name of the selected folder is bolded and in green. You cannot select multiple folders.
Depth of subfolders
Specifies the number of folders (0 or higher) below the current folder to include in the export. For example, A depth of “0” specifies to export only the assets within the selected folder; “1” specifies to export the assets in the selected folder and within the first level of subdirectories of that folder.
To export all of the assets within all of the subdirectories of the folder, leave the field blank. For example, if you select the Root folder and leave blank, Hierarchy Export will export all of the assets in your repository.
